BEACH BRAINS PRODUCTION MANAGER – JOB DESCRIPTION
Reporting to: Company Director
Purpose of the role: Responsible for turning ideas into finished garments. The Production Manager oversees all
stages of production from development to delivery. Working closely with offshore factories to ensure products are
made on time, on budget, and to our quality standards.
Key Skills:
– Strong understanding of offshore manufacturing processes, materials and quality standards
– Strong understanding of international freight / logistics processes
– Proficient communication skills with manufacturers, freight agents, 3PL partners and internal team
– Excellent problem solving, attention to detail and time management
– Confident with software tools – inventory management (DEAR or similar), Excel, Adobe Illustrator
Core Responsibilities Overview:
– Manage the production process from development to delivery
– Communicate with suppliers, factories, 3PLs and freight agents
– Track timelines, quality, and costs
– Solve problems quickly and keep things moving
– Support ethical production practices
Pre-Production Tasks:
– Source / develop fabrics, trims, labels, and packaging
– Request and approve lab dips, strike-offs, and trim samples
– Create and manage production timelines
– Plan production volumes and delivery schedules based on seasonal timelines
Sampling & Development:
– Create tech packs from the design team range plan
– Manage proto, sms, pre-production samples
– Coordinate fittings with design team and ensure feedback is communicated to factories
– Track sample approvals and maintain records of samples received
– Ensure factories are clear on construction and quality expectations
– Review and approve samples for bulk production
Bulk Production:
– Book production capacity with factories
– Monitor factory progress and track against key dates
– Manage regular work-in-progress updates from suppliers
– Resolve production issues (e.g., fabric shortages, technical challenges etc)
– Conduct or arrange quality control checks during production and after bulk arrives
– Review and approve pre-production and ship samples
– Create and review/approve care labels artwork
– Maintain accurate production data, including quantity, cost, and delivery
Logistics & Delivery:
– Arrange shipping quotes, book and coordinate bulk shipping and freight with factories, freight forwarders
and 3PL partners from Ex Factory to Warehouse / 3PL to WS stockists delivery
– Track all shipment timelines and update relevant teams
– Ensure relevant documentation is completed for import/export for all shipments (commercial invoice,
packing list, certificate of origin etc)
– Liaise with warehouse and 3PLs to confirm deliveries and resolve discrepancies
Reporting & Admin:
– Create products and product assemblies in DEAR
– Integrate products / stock from DEAR to Shopify
– Generate purchase orders in DEAR and issue / confirm PO’s to suppliers
– Export SOH reports from DEAR when required by sales team for ATS orders
– Ensure Accounts Manager receives all production / sampling / freight related invoices
– Liaise with Accounts Manager on production and payment timelines for cash flow
– Maintain and update production tracker and job cards
– Cost and negotiate prices with suppliers/factories
– Prepare cost summaries and margin reports for each style before seasonal sales begin
– Create seasonal WS order forms for each currency
– Collate WS orders and review best sellers and cancellations
– Assist with buying / planning for BB online
– Provide regular updates to internal teams
– Analyse production performance and suggest improvements
– Generate barcodes with GS1 and create barcode / product data sheets for suppliers and wholesalers
– Monitor landed costs and ensure alignment with forecasts/budgets
Supplier & Team Management:
– Build and maintain strong relationships with manufacturers and mills
– If required travel to factories for quality checks or development
– Communicate clearly and regularly with all stakeholders
– Participate in team meetings and seasonal planning sessions
